What’s in a conference production

Conferences are the events that make or break a comms calendar. They’re the AGM the City watches, the sales kickoff that sets the year, the awards night the team remembers, the partner conference the regional director presents to. The technical brief is rarely the hard part — what makes them work is a producer who’s run a hundred of these and a rehearsal calendar that doesn’t slip.

Run-of-show and presenter support

Run-of-show document built with you in week one and rehearsed by tech week. Presenter rehearsal scheduled — confidence monitor, autocue if it’s wanted, and a producer cueing them in. The CEO doesn’t walk on cold.

Hybrid and livestream

If half your audience is in the room and half is on Manchester / London / Madrid Zoom, our sister studio Big Purple Capture runs the broadcast feed. Vision mixing, livestream platform integration, two-way Q&A, recorded for on-demand afterwards.

Filming and post-event content

The keynote you’ll want next year. The board montage. The 90-second highlight reel for LinkedIn. Capture handles all of it — usually filming on the day, edit delivered inside a fortnight.

How we run a conference

Step 1

Brief and discovery (week 6+ before)

First conversation, venue check, stakeholder interviews. We come back with a one-page response, a producer named, a high-level kit list and a budget shape.

Step 2

Design and approvals (week 4–5)

Stage design, run-of-show v1, AV plan, hybrid plan if needed. Sign-off from the comms team and procurement before we book anything.

Step 3

Production (week 2–3)

Suppliers locked, presenter rehearsal scheduled, run-of-show v2 with full timings, contingency plan documented, Capture’s filming brief agreed.

Step 4

Tech rehearsal (week of)

On site for the build. Full tech rehearsal with presenters the day before. Final run-of-show signed off and printed.

Step 5

Show day and debrief

We run the day. Post-event report inside a week — what worked, what we’d lift, what’s worth changing for next year.

Frequently asked questions

The largest events we’ve built have been multi-zone hybrid conferences with 1,200+ in-room delegates, simultaneous broadcast, and multiple parallel breakout streams. The smallest is a board strategy day for ten people. The team scales for the show.

Yes — and often we are the venue’s preferred supplier. We have ongoing relationships at Hilton, Close House, BALTIC, the Grand Hotel and several other regional venues. Where there’s an in-house AV team, we work alongside them.

Yes. We’ve completed RFPs, sustainability questionnaires, supplier onboarding portals (Coupa, Ariba, etc.), and modern slavery / ESG / GDPR documentation often enough that none of it slows us down. Our procurement docs pack is sent on request.

That sits with our sister studio Big Purple Events — they handle event design and management, including suppliers, hospitality, and the parts of the day that aren’t on the production schedule.
